AI Voice-Agent Billing Audit: Match Call Records to Your Invoice
Audit an AI calling invoice by reconstructing usage under the dated contract, then matching commitments, credits, adjustments and tax. Compare at call or leg level before aggregating. A dashboard's displayed talk time may not use the invoice's billing unit.
Use the billing worksheet and fictional invoice dataset. All example identities and charges are synthetic. This is a reconciliation method, not a claim about an actual disputed invoice.
Establish the billing rule
Record the period, timezone, currency, rate, minimum commitment and rounding increment. Clarify whether ringing, voicemail, silence, failed attempts and transferred legs are charged. Separate model, voice, hosting, telephony, storage and implementation fees when the supplier bills them separately.
Vapi's documentation distinguishes hosting from underlying provider costs. VaniAgent publishes its own included layers and plans. Neither description should be applied to a different contract. Keep negotiated terms and the public-page collection date distinct.
Reconstruct usage before comparing totals
For a fictional contract billing ₹4.50 per minute in 60-second increments per connected call, a 61-second call is two billed minutes and ₹9.00 before tax. A 59-second call is one minute and ₹4.50. Together, they cost ₹13.50 under that invented rule, although aggregate raw duration is exactly two minutes. This illustrates why rounding scope matters; it does not state VaniAgent's billing increment.
Join each line to a provider/account/call identity. Where transfers create additional legs, retain parent-child relationships and identify which leg incurs which charge. Do not deduplicate legitimate legs merely because they share an enquiry or phone number.
Apply commitments and credits once
| Commercial item | Reconciliation question |
|---|---|
| Credit minimum | Does usage consume the payment, and what happens to unused credit? |
| Subscription | Is it additional to usage or inclusive of an allowance? |
| Setup | Is it one-time, waived or spread across periods? |
| Refund or adjustment | Which period and call does it refer to? |
| Tax | Which invoice lines and jurisdictional rules apply? |
A credit floor and a separate fee require different arithmetic. Do not add the same committed payment twice. Check opening and closing balances if the invoice uses prepaid credits, and distinguish consumed usage from cash paid.
Investigate the variance
Compare reconstructed amount with invoiced amount by component and day. Check missing records, delayed settlement, timezone boundaries, duplicate lines, rate changes and credits. Collect sanitized call identifiers, the contract clause and your calculation before opening a support dispute.
Keep unexplained differences visible rather than forcing the reconstructed total to match. Have finance review tax treatment and confirm disputed terms with the supplier. An invoice audit improves cost accountability; it does not prove business return, call quality or customer conversion.
Frequently asked questions
Should I round total minutes or each call?
Use the actual contract rule. Per-call increments can produce a different total from rounding aggregate duration.
Why can a transferred call have several charges?
Different carrier legs, AI usage and destination charges may have different billing boundaries. Inspect the contract and related leg records.
Does a variance prove overcharging?
No. Missing exports, cutoff timing, adjustments and contract interpretation can explain a difference. Investigate before making a claim.
Continue planning your workflow
See the parent guide, calling costs, or request a scoped demonstration. Examples and test resources are educational; verified provider configuration and measured customer results must be evaluated separately.
