Reconciliation compares what the provider says happened with what the integration received and what the CRM saved. Use stable call identities and a declared observation window. A webhook being enabled does not prove every activity or callback reached the correct lead.

Download the mismatch worksheet and local reconciliation module. The module includes synthetic data and performs no network requests. It is an educational comparison tool, not an authorized repair job for your CRM.

Export three views of the same window

Collect provider call records, integration-ledger receipts and CRM activities for the same account and time interval. Use a composite provider/account/call key where needed. Keep the enquiry identifier separate: one enquiry can have several legitimate attempts. Preserve event timestamps and ingestion timestamps so late delivery is visible.

Include enough time for expected delivery lag. A call ending seconds before the export may be pending rather than missing. Keep pending and terminal records separate, and record the cutoff used for the report. Redact unnecessary personal data from review exports.

Do not automatically redial a provider-only record. The call may have happened successfully while only the CRM update failed. Repeating the call turns a reporting gap into unwanted customer contact.

Follow the callback beyond its creation

A “callback requested” outcome should join to a task with an owner, due time and status. Task creation and task completion are separate checks. Inspect overdue, unassigned and duplicate tasks. If a salesperson handled the callback manually, retain that evidence rather than creating another task from a stale export.

For a fictional batch, call demo-002 exists in the provider and ledger but is absent from CRM. The report should say ledger-only at the CRM boundary, not “customer was not called.” The appropriate action is to investigate the write and reconcile by identity.

Make repairs idempotent and reviewable

After investigation, prepare a proposed repair set: missing activity, corrected mapping or task assignment. Check the destination again immediately before any authorized write. Use a stable effect identity and preserve current preferences and completed work. Quarantine ambiguous records for a person.

Measure mismatch counts by category, age and configuration version. Re-run the comparison after repair and retain the before/after evidence. Batch reconciliation complements secure, replay-aware webhook handling; it does not replace it. The local example proves only the comparison logic, not provider delivery or a live CRM integration.

Frequently asked questions

Why reconcile if webhooks are enabled?

Delivery, processing and saved CRM state can fail independently. A batch comparison detects gaps that individual event handling did not resolve.

Can a phone number be the join key?

Usually not safely. Repeated calls and shared numbers require provider/account/call identities and a separate enquiry mapping.

Does the demo update my CRM?

No. The downloadable Node module uses synthetic local records and produces a report without network requests or writes to a CRM.

See the parent guide, calling costs, or request a scoped demonstration. Examples and test resources are educational; verified provider configuration and measured customer results must be evaluated separately.
