Changing an AI voice-agent provider is a workflow migration. Keep number routing, prompts, integration contracts, business records and unfinished work in one controlled inventory. A new agent answering the phone does not prove that callbacks, bookings or contact preferences survived.

Use the migration worksheet before changing any live destination. This is a planning method, not a claim that a particular Indian number can be ported between any two suppliers. Verify number ownership, eligibility, forwarding or SIP options and the carrier's current procedure separately.

Capture the working system

Record the current agent version, model and voice settings, opening greeting, language policy, business hours, tool inputs, authentication method and fallback destinations. Store secrets in the approved secret manager; an export spreadsheet should contain references rather than credentials. Save representative permitted test cases and expected business outcomes.

Inventory every writer: the agent, staff, CRM automations and imported sheets. Map stable enquiry, attempt, call and booking identifiers. Preserve timezone and source timestamps. A field named “completed” may mean conversation ended in one system and booking saved in another; translate the meaning explicitly.

Move pending work before sending new work

Classify records as queued, accepted by provider, active, finished, or uncertain. An uncertain attempt requires reconciliation rather than an automatic redial. Maintain contact preferences and completed-task history throughout migration. Do not import an old sheet that reopens completed work or restores a withdrawn preference.

ItemMigration checkFailure response
CallbackSame owner, time and unique task IDHold automation and assign reconciliation
BookingExisting event remains authoritativeCheck destination before creating another event
Call resultProvider ID joins to the intended enquiryQuarantine unmatched records
PreferenceMost recent authoritative restriction retainedSuppress disputed contact pending review

Webhook endpoints need the new provider's authentication and event semantics. Do not reuse a signature validator merely because both providers send JSON. Test replay, late delivery and timeout recovery with the actual integration contract.

Prove the new route in stages

Begin with synthetic records and authorized internal calls. Test wrong-person handling, corrected names, busy staff, unavailable CRM, repeated callbacks and calendar conflicts. Compare saved fields and handset behavior with the previous route. Avoid sending the same real enquiry through both providers just to compare outputs.

Then choose a bounded eligible segment or route. Version the release and compare outcomes by configuration; an aggregate completion rate can hide a bad new version. Assign one cutover owner so that two people cannot independently point the number at competing destinations.

Roll back routing without rolling back history

A rollback should restore the approved previous route and configuration while preserving new bookings, completed callbacks and current preferences. It should not overwrite the business database with a stale snapshot. Reconcile in-flight attempts and document which system will receive late outcomes.

Cancel the old service only after the observation window, export verification and contract review. Confirm that fallback, staff access, billing and record retrieval still work. Keep a migration record with unresolved limitations. This procedure reduces avoidable loss; it cannot establish compatibility without testing the actual accounts and carrier configuration.

Frequently asked questions

Does moving a phone number migrate the agent?

No. Number routing, agent configuration, integrations, stored records and pending work are separate migration tasks.

Can I copy a prompt into another provider?

Use it as an input, then validate tool schemas, conversation behavior, voice configuration and saved outcomes on the new stack.

When should I cancel the old provider?

After the new route and fallback are verified, pending work is reconciled, exports are usable and contractual exit requirements are checked.

See the parent guide, calling costs, or request a scoped demonstration. Examples and test resources are educational; verified provider configuration and measured customer results must be evaluated separately.
