An AI voice agent changes where people spend time. It may handle routine conversation while staff still review errors, complete callbacks, resolve exceptions and maintain the workflow. Measure those hours before making a staffing or savings claim.

The weekly human-work log separates six work categories. It starts blank because no customer time study is implied. Choose an observation period that captures ordinary workload and known peaks, and label exceptional incidents separately.

Define the baseline at the task level

List the tasks staff currently perform: answering, verifying the intended person, checking availability, recording a request, booking, transferring and returning calls. Record volume, task mix, completion criteria and time spent. Include work after the call, not just talk duration.

Compare the same eligible tasks after automation. If the pilot receives simple enquiries while staff retain complex requests, report that split. A lower average staff time is not evidence that the agent can handle the excluded work. Keep unresolved requests in the workload ledger rather than silently dropping them.

Record the work that becomes less visible

CategoryIncludeCommon omission
Quality reviewListening, checking records, documenting correctionsCounting audio duration without reviewer time
ExceptionsFailed bookings, wrong fields, unresolved identityExcluding work done by a supervisor
CallbacksPreparation, conversation and task closureTreating a saved callback as completed
MaintenanceBusiness updates, prompt tests and integration changesAssuming setup is the only technical work
IncidentsDiagnosis, restoration and reconciliationReporting outage weeks as ordinary steady state

Use a task reference, start/end time, category, owner and outcome. Avoid recording unnecessary personal details in the time log. If a reviewer handles two activities at once, choose a consistent allocation rule instead of counting both full durations.

A fictional calculation

Suppose a comparable weekly baseline took 40 staff hours. During a fictional pilot, staff spend six hours reviewing, eight on exceptions, ten on callbacks and four maintaining the system: 28 hours remain. The arithmetic difference is 12 hours. These invented inputs illustrate the method; they are not measured VaniAgent savings.

At a hypothetical loaded labour cost of ₹300 per hour, the difference is ₹3,600. Compare that with supplier costs, integration work and any change in verified completed tasks. If the pilot completes fewer important requests, the time difference alone cannot establish value. Capacity released also differs from a cash saving: payroll may remain unchanged.

Use the result to improve the workflow

Sort exception time by cause. Repeated date corrections suggest a different repair from repeated CRM authentication failures. Fix the largest consequential cause, run the affected regression cases and compare the next period. Version changes so an improvement can be linked to a specific configuration rather than memory.

Report total eligible tasks, verified completions, outstanding work, human hours by category and total cost. State whether time was directly observed or estimated. Keep staff accountable for the parts that require judgment and do not infer that lower review coverage means higher accuracy. This time study answers how much work remains; a separate business decision determines how to use any available capacity.

Frequently asked questions

Does automation remove all receptionist work?

No. Measure the remaining review, exceptions, human conversations, maintenance and incident work. Some tasks should stay with staff.

How do I avoid counting the same staff time twice?

Use mutually exclusive activity categories and a task reference. Allocate shared time consistently and disclose estimates.

Can I claim savings from a small demo?

A demo does not measure a comparable operational baseline. Use observed hours, task mix and completed outcomes before claiming savings.

Continue planning your workflow

See the parent guide, calling costs, or request a scoped demonstration. Examples and test resources are educational; verified provider configuration and measured customer results must be evaluated separately.
