Short answer: A site-visit reminder should confirm the correct project, meeting location, date, time and host, then save whether the person will attend, reschedule, cancel or speak to the team. A reminder call is not a property sale and should not turn uncertain project information into a promise.

This is a broker-reviewable template, not a tested real estate customer workflow. The broader real estate voice-agent guide covers enquiry handling; this article focuses on an already scheduled visit.

Use the saved visit as the source

Keep separate identities for the enquiry, project and visit. Read the current visit state immediately before scheduling a reminder. A cancelled or already rescheduled visit must not remain eligible because an old spreadsheet still lists it.

Staff should approve the visit address, map link, entrance or meeting point, host, access requirements and any information that may be shared. Do not infer the visit location from a project marketing address. A person arriving at the wrong sales office is an operational failure even if the call sounded correct.

Ask about attendance without re-running the sales pitch

Identify the business through approved wording and verify the intended person before disclosing unnecessary details. Ask whether the saved date and time still work. A confirmation updates the existing visit; it should not create a new lead or duplicate the appointment.

Fictional example: “The team has a site visit saved for Saturday at 11 a.m. at the approved meeting point. Does that still work for you?” The actual script must resolve the full date and read the current record. Do not use a static example date in a live workflow.

If the person asks project questions, answer only from approved current facts. Do not invent unit availability, discounts, investment returns, possession dates or approval status. Route negotiation and uncertain facts to the responsible salesperson.

Make a reschedule a verified change

Check both the host's availability and any access constraints. A free calendar interval does not prove the site can receive visitors. Preserve the original visit until the replacement is successfully saved, or follow an explicit recovery procedure.

If a write times out, reconcile by stable request and visit identity before trying again. Read back the full date, time and location only after the final state is known. If the new slot is only requested, say it is awaiting confirmation. The appointment reminder guide explains those status distinctions.

Coordinate the host and salesperson

A customer confirmation is not proof that a host has accepted the visit. Define how the host receives the update and how the system handles host absence. Assign unresolved cases to a named owner before promising a callback.

Use shared ownership rules to avoid a salesperson and an AI campaign calling together. Keep opt-outs and channel preferences current. A cancelled visit should stop its reminder sequence even if the lead remains open for other approved work.

Test before releasing the route

Use the site-visit checklist with fictional records. Test the wrong project, a changed meeting point, absent host, duplicate reminder, last-minute cancellation, ambiguous date and timeout after rescheduling. Inspect the CRM visit record and the host's actual task or calendar.

Measure verified attendance, timely cancellation, successful rescheduling, staff corrections and complaints. Show eligible-visit denominators. Do not claim a reminder improved attendance from confirmation counts alone; use the fair-test method before making an improvement claim. Publish only permissioned results with the exact workflow and limitations.

Frequently asked questions

Can AI confirm a property site visit?

It can support confirmation when it reads the current saved visit and writes the response to that record. The team must verify project details, host availability and the supported integration.

Can the reminder quote a property price?

Only approved current information within the agreed scope should be read. Negotiation, changing availability and uncertain project claims belong with the responsible team.

Should rescheduling create a new lead?

Usually the existing enquiry and visit identities should be preserved under the team’s data model. A schedule change is not evidence of a new prospect.
