Short answer: A 1,000-call pilot budget needs a definition of “call,” a connection-rate assumption, billed duration, included services, fixed charges and the human work required to review outcomes. The cost of 1,000 attempts can differ substantially from 1,000 completed conversations.

Use the editable pilot calculator and budget worksheet. All sample values are hypothetical inputs, not measured conversion results or a binding vendor quote. Verify current published pricing and your written agreement before purchasing.

Count the funnel without changing denominators

Record attempted calls, connections, reviewed conversations, qualified enquiries, booked meetings and verified sales separately. A provider may report an answered connection that is voicemail or a wrong person. A completed AI interaction may still fail its business task.

For this example, assume 1,000 attempts, a 45% connection rate and an average three billable minutes per connection. That produces 450 connections and 1,350 connected minutes. If the agreed all-inclusive rate is ₹4.50 per minute, that component costs ₹6,075 before tax. This calculation assumes no billable duration on the other 550 attempts; change that assumption if your contract bills ringing, voicemail or setup events.

Add the missing work

Suppose onboarding costs ₹2,999, integration work costs ₹3,000 and a reviewer spends two minutes on each of 100 sampled conversations at an internal loaded rate of ₹300 per hour. Review time costs ₹1,000. The illustrative pre-tax total is ₹13,074, before any separate minimum commitment or additional provider fees.

Budget componentExample basisIllustrative cost
Connected usage1,350 minutes × ₹4.50₹6,075
OnboardingAssumed one-time fee₹2,999
Integration workAssumed scope₹3,000
Human review200 minutes at ₹300/hour₹1,000
Other attempt chargesAssumed zero; verify contract₹0

Tax treatment can differ between supplier charges and internal labor. The calculator applies the entered tax rate only to its stated supplier-cost subtotal; it leaves internal review labor outside that subtotal. Have finance confirm applicability and credits. It is a planning model, not tax advice.

Account for credits and commitments

If a monthly credit payment funds usage, calculate the payable usage component as the relevant contractual floor or actual usage, rather than adding both. Check expiry, refundability and rollover. A three-month plan has a commitment cost even when the pilot lasts one month.

Separate existing sunk integration costs from costs necessary for this pilot. Include the human callback workload if qualification creates sales tasks. A low AI usage bill can coexist with a high cost of unfinished follow-up.

Calculate a useful outcome cost

Assume 20% of the 450 connections produce qualified enquiries under a written rubric. That means 90 qualified enquiries, giving an illustrative ₹145.27 pre-tax budget per qualified enquiry. The assumed 20% is not a forecast. Review disputed qualifications and verify that the assigned human actually follows up.

If there are zero verified qualified enquiries, report that explicitly: cost per qualified enquiry is undefined, not zero. Report the total spent and why the pilot failed to produce the intended outcome.

Test sensitivity before signing

Change connection rate, duration, qualification rate and review sample size one at a time. Lower connection rates reduce some minute charges but may increase cost per useful outcome. Longer conversations may improve task completion or merely indicate confusion; listen to the sample before interpreting duration.

Set a budget ceiling, stop conditions and a weekly review owner. At the end, replace assumptions with actual billed records and CRM outcomes, reconcile differences and decide whether to improve the workflow, expand a proven task or stop.

Frequently asked questions

Does 1,000 calls mean 1,000 connected conversations?

No. Define whether the pilot counts attempts, connections or completed tasks. Calculate billed minutes using the provider contract, including any chargeable unanswered or voicemail activity.

Can cost per qualified lead predict revenue?

No. Qualification criteria, human follow-up and verified sales determine the next stages. Report qualified leads separately from won customers and revenue.

Should prepaid credits be added to usage costs?

Not when they fund the same usage. Apply the contractual minimum or credit floor and actual usage without double-counting; account separately for genuinely additional fees.
