Short answer: An AI receptionist needs separate fallbacks for telephone routing, the AI application, business integrations and human handoff. A fallback hosted inside the component that failed may fail with it. Keep appointment and callback promises tied to durable saved records, then reconcile unfinished work before recovery retries.

This is a runbook template, not a tested outage report or an uptime claim. The correct route depends on your carrier and deployment. Validate it with authorized staging tests and provider support before relying on it for customer calls.

Draw the dependency chain

Write down the inbound number, carrier route, application host, speech services, calendar or CRM, staff destination and notification system. Mark which depend on office power or internet and which are independently hosted. An office router outage, a carrier outage and an expired calendar authorization have different effects.

For example, cloud answering may still work when an office loses internet, but transfer to an office-dependent phone may not. Conversely, a healthy AI application cannot answer a call that never reaches it. A status page showing the website is online does not prove the phone route works.

Assign a safe outcome to each failure

For carrier routing failure, obtain the provider's approved alternate route or service restoration procedure. For application failure, configure a carrier-side staff route, announcement or voicemail where supported. For calendar failure, stop confirmed booking offers and use an approved pending-request flow. Do not merely keep retrying until the caller hangs up.

Google's Calendar documentation describes different API error conditions. Your application should distinguish authorization failures from transient errors; retrying a revoked credential indefinitely will not repair access. Keep retry limits and escalation visible to an operator rather than hiding them behind a success message.

Use the outage runbook worksheet to assign an owner, detection signal, fallback and recovery proof for each dependency. Store sensitive route configuration privately.

Do not promise a task that cannot be saved

If a calendar write fails, explain that the appointment is not confirmed. If callback storage is also unavailable, do not say that a team member will call back. Offer only the remaining approved alternative. A memory-only note can disappear when the failed process restarts.

For an uncertain timeout, the operation may already have succeeded remotely. Preserve the request identity and reconcile before creating another event. The booking conflict guide explains why blind retries can duplicate an appointment.

Run controlled failure exercises

Use fictional callers and an authorized test route. Disable the calendar credential in staging, simulate a timeout after a write, make the staff destination busy and stop the application process under a planned exercise. Record what the caller actually hears and what state persists.

Restore each component through the documented procedure. Verify that no duplicate calls or events appear and that an unavailable handoff does not become a false success. Do not revoke production access or stop a live service simply to generate evidence for an article.

Recover with reconciliation

List pending tasks and classify them as saved, failed, uncertain or expired. Read the authoritative business record for uncertain writes. Respect cancellations and opt-outs that arrived during the incident. Assign unresolved requests to a named human owner instead of replaying a stale export.

Before restoring normal traffic, verify the route, one approved task and the fallback. Record the configuration version, incident window, affected counts and remaining exceptions. Monitor recurrence and review whether the fallback capacity was adequate.

Report availability carefully: the website, answered calls and successful bookings are separate measures. A receptionist that answers during an integration outage may still fail its core task. Use verified business outcomes alongside infrastructure health when deciding whether the service has recovered.

Frequently asked questions

Will calls continue if the office internet fails?

That depends on where the carrier route, AI application, staff phones and booking systems run. A cloud service may remain reachable while an office-dependent handoff fails. Test the actual dependencies.

Can the agent keep booking while the calendar is down?

It must not claim a confirmed appointment without an authoritative saved booking. Use the approved request queue or staff fallback, clearly explaining the pending status.

Should all failed requests be retried after recovery?

No. Reconcile uncertain writes, duplicates, expiry and current contact preferences first. Retry only eligible unfinished work under the approved policy.

See the parent guide, calling costs, or request a scoped demonstration. Examples and test resources are educational; verified provider configuration and measured customer results must be evaluated separately.
