Contact Preferences Across AI Calls and WhatsApp: Stop Duplicate Follow-Up
Separate tools can each believe they are making the first follow-up. Prevent that by sharing contact preferences and work ownership across AI calls, WhatsApp, CRM tasks and sheet imports. Store the scope and evidence of a request rather than a single unexplained “consent” checkbox.
Use the cross-channel state worksheet. This is an operational design, not a legal contact-frequency rule. WhatsApp has its own current business messaging policy; approval for one activity should not be generalized to every channel or purpose.
Model preference and task state separately
A person may request a callback tomorrow while declining promotional WhatsApp messages. Store the channel, purpose, effective time, source, evidence reference and version. Separately track queued attempts, provider acceptance, active calls and completed tasks. A completed task does not establish future permission.
Normalize identity carefully. Shared household numbers and changed phone ownership make a bare phone number an imperfect person identifier. Use the business's approved identity policy and do not expose one person's details to another while resolving a preference.
Resolve conflicts explicitly
| Incoming update | Existing state | Operational response |
|---|---|---|
| Old sheet says contact allowed | Newer authoritative stop | Keep stop; flag stale import |
| Message requests a callback | Channel restriction exists | Review exact scope and purpose |
| Staff marks lead completed | Automation task still queued | Reconcile ownership before contact |
| Two tools schedule the same enquiry | No effect has started | One approved owner claims the task |
Timestamps alone may be unreliable if a source clock is wrong. Keep source time and receipt time, and use an authoritative update version where possible. Where evidence conflicts, hold the disputed automated action and assign a reviewer instead of guessing broader permission.
Check at the moment of action
Check eligibility when creating a task and again before sending a message or requesting a call. A restriction may arrive while work is queued. If the provider already accepted an action, follow its supported cancellation procedure and record whether cancellation was confirmed. Do not report a cancelled call when the outcome is uncertain.
Record an effect identity so a repeated webhook cannot schedule the same follow-up twice. Coordinate human ownership: a salesperson's active conversation should not race an automated callback merely because the tools use separate queues.
Test realistic preference changes
Use synthetic cases for a stop during a queue wait, a late opt-out event, a stale import, a shared number and a new purpose-specific enquiry. Verify that the restriction survives restarts and reconciliation. Inspect the destination task and provider record, not just a dashboard label.
Review unresolved conflicts and unwanted-contact complaints by source. The goal is a consistent, accountable record across channels. This article does not claim a production preference service is installed or that any particular cadence satisfies all Indian calling and messaging obligations.
Frequently asked questions
Does a WhatsApp reply authorize an AI phone call?
Do not assume it does. Check the expressed purpose, channel preference and applicable current rules before contact.
Should the sheet or CRM own preferences?
Choose one authoritative preference service or record with versioned updates. Other systems should consume it without silently overriding newer restrictions.
Is there a universal safe follow-up frequency?
No. Define an approved purpose-specific policy using current platform rules and applicable obligations, and respect individual preferences.
Continue planning your workflow
See the parent guide, calling costs, or request a scoped demonstration. Examples and test resources are educational; verified provider configuration and measured customer results must be evaluated separately.
